Building a business without systems is like decorating a house with no floor. In my first week with any client, we always begin with these five foundations: a centralized inbox structure, a simple project tracker, a content calendar, a client onboarding flow, and a weekly review ritual.

Each of these takes about an hour to set up, but they will save you dozens of hours every month. The trick is keeping them simple enough that you actually use them. I am a big fan of Notion and Google Workspace, but the tool matters far less than the consistency.

Start with the inbox. Create three labels: Action, Waiting, and Archive. Move every single email into one of them at the start of the day. Within a week, your stress will visibly drop and your team — even a team of one — will know exactly what is next.
